Participants

The 'Participants' section is designed to manage and monitor individuals in a coaching program.

This functionality is mainly relevant during the live phase of the coaching, not during the development phase.

Overview Table

The main table within the 'Participants' section displays key information for each participant:

  • PARTICIPANT ID: A unique identifier automatically assigned to each participant.
  • PARTICIPANT NAME: The self-chosen (nick)name of the participant.
  • LANGUAGE: The chosen/assigned language by/to the participant.
  • GROUP: The group the participant belongs to, e.g. clients of health insurance XY.
  • ORGANISATION: Allows to internally group participants, e.g. for subsequent data analysis. For instance, you can group all participants that belong to a certain school or clinic.
  • ORGANISATION UNIT: Allows the creation of subgroups within an organization. Examples include differentiating participants by their specific school class or department within a clinic.
  • CREATED: The date when the participant was added to the coaching.
  • ASSIGNED SURVEY: Legacy function.
  • SURVEY STATUS: Legacy function.
  • DATA FOR MONITORING AVAILABLE: Indicates whether all necessary data for initiating the coaching process with a participant is present, such as the participant's phone number for SMS reception. Note that for coaching apps, this data is typically auto-populated.
  • COACHING STATUS: The current status of the participant's coaching ("finished" vs. "not finished").
  • MONITORING STATUS: Denotes whether the participant is under active monitoring ("active") or not ("inactive"). When set to "inactive," no rules or messages will be processed for this individual. They remain completely inactive until their status is switched back to "active."
  • DEACTIVATION STATUS: Shows if the participant's account is "active" or "deactivated".

Functions

For the majority of functions within this section, you must first choose one or more participants to whom the action will be applied.

  • Import: Allows you to import a list of participants from a CSV file format.
  • Export: Enables you to export the list of participants for reporting or data analysis. Mark all participants, which shall be included in the export before clicking onExport. Press Shiftto mark a list of participants.
  • Assign Group: Use this option to assign participants to a specific group
  • Assign Organisation: Use this option to assign participants to a specific organization
  • Assign Unit: Use this option to assign participants to a specific unit of an organization
  • Delete: Removes a participant from the coaching program.
  • Refresh: Updates the list to reflect any recent changes or additions.
  • Switch Monitoring: Toggles the monitoring status of selected participants.
  • Send Message: Allows to send a individual message directly to selected participants.
