Access & Accounts

What is the difference between the CoachStudio Designer and the CoachStudio Coaching Editor?

The CoachStudio Coaching Editor defines what the coach says and does: Micro Dialogs, rules, variables, events & actions. The CoachStudio Designer defines what the app looks like and what it contains: app name, logo, colors, coach profiles, onboarding, screens, questionnaires and media.

I can't find my coaching in the list. What can I do?

Your account doesn't have access to it yet. Ask a Coaching Admin of your team to give you access – read Access and Access Control to learn how.

Can several people work on the same coaching at the same time?

Yes, with author accounts: several Coaching Authors can work on their assigned coaching simultaneously. Only one Coaching Admin at a time can work on the same coaching.

That's why every coaching designer usually has both an author and an admin account. See Access Control.

How do I give a colleague access?

A Coaching Admin creates new team members for their coaching; new Coaching Admin accounts are created by a Global Admin. The steps are described in Access Control.

My coaching is locked, although nobody is working on it. What happened?

When an admin user is logged into a coaching, it is locked by that user – for example if someone forgot to log out. Under Account, Reset All Locks logs out everyone currently working in a coaching.

Tell your colleagues before you use it – otherwise unsaved work may be lost.

How do I protect my account?

Set up two-factor authentication (2FA) under Account. There you can also change your password.

Building Your Coaching

Why can't I change the basic settings of my coaching?

Before you edit the Basic Settings and Modules, both the Coaching and the Monitoring must be deactivated.

Should I build one large Micro Dialog or several small ones?

Several small ones. Smaller Micro Dialogs give you more flexibility: you can duplicate content more easily and rearrange the coaching flow later. Read Micro Dialogs and the best practices on Designing a Coaching Intervention.

When are rules on DAILY BASIS executed?

Once per day at 00:00. The other execution types – periodic, unexpected message and user intention – are explained in Rules.

Why can't I use my variable in a rule?

Only predefined variables can be used in rules. Create the variable in the Variables tab first – see Only Predefined Variables Can Be Used.

How do I find errors in my coaching?

Use the Validate button in the coachings list: the Validation Report lists typical errors such as empty answer options, double spaces or inconsistent commands. The results of your test users help as well – see Troubleshooting.

Testing

How do I test my coaching on my phone?
  1. Install the MobileCoach App from the App Store or Play Store.
  2. In the CoachStudio Designer, go to Coaching and select your coaching under Coach interactions.
  3. Go to App and scan the QR code for development with the MobileCoach App.

Do I have to wait in real time to test messages that are sent tomorrow?

No. The development version of the app has a debug tool: tap the top bar of the app and jump forward in time – one hour per tap. This way you can test your complete coaching within one day.

In addition, debug mode ($debug = 1) lets you jump straight to a specific dialogue and show messages for testers only. See Use Debug Mode.

How do I restart a test from the beginning?

Tap the debug panel at the top of the app, tap Reset and scan the QR code again. See Restart a test.

What is the difference between the development and the participant QR code?

The development QR code connects the app with the debug tool – use it only for testing. The participant onboarding QR code is for real users once your coaching goes live. Both are in the CoachStudio Designer under App.

Media

Which file formats and sizes are supported?

Images in the chat should be at most 1500 × 2000 pixels; images for service channel news and questionnaires 800 × 450 pixels. See Editing Pictures.

How can users find a video or audio again after the chat has moved on?

Add it to the Media Library: a permanent collection of audio, videos, links and infocards in the app, filled from your Micro Dialogs with Media Library commands.

Languages

How do I translate my coaching?

Deactivate the coaching, click Internationalization, export Messages & Dialogs as a CSV file, translate it in Excel or another spreadsheet application and import it again.

Never add or delete rows in the export – each row is matched back to the coaching via its identifier. All details: Translating the App and Chat Dialogues.

How do I enter texts in several languages in the CoachStudio Designer?

Many pages of the Designer have a language dropdown next to the Save button. Select the language first, then enter or edit the texts for this language.

AI & LLM Hub

Which LLM providers can I use?

In the LLM Hub you connect OpenAI or a self-hosted model via Ollama. You then assign the configuration to an LLM slot in your coaching's Basic Settings.

Can I keep track of LLM costs?

Yes. The LLM Hub's Cost Controlling shows per coaching and per LLM configuration how many tokens were used and what they cost in EUR. With OpenAI, you can additionally set a monthly budget in your OpenAI account.

Is my API key safe?

Credentials you enter in the LLM Hub are stored securely and are not visible to other users. Never share an API key by email or chat – anyone with the key can use your credit.

Going Live & Data

What do I need to do before real users start?

Inform Pathmate before you onboard real users: we switch your coaching to the production server and start monitoring it. Then onboard your users with the participant onboarding QR code.

Do I need my own App Store and Google Play accounts?

Only if your package includes your own app that is published under your organisation's name. In that case, plan about 2–3 weeks of lead time – read Going Live: App Store Accounts. If your coaching runs in an existing Pathmate app, you don't need store accounts.

How do I export the data of my participants?

In the CoachStudio Designer under Pathmate Cockpit → Data export you download the data of all participants. To export only one or a few participants, use the CoachStudio Coaching Editor. What the export contains: Data Export.
